What you'll do

  • Administrative work: Laying out/updating decks for leadership review
  • Facilitating NDAs and proper filing for all vendors and partners in which brand specific details are being discussed
  • Keeping track of crew statuses from pre to postproduction via shoot production tracker
  • Updating usage calendar once shoot usages have been confirmed
  • Creating and upkeep file naming system
  • Creating SOP for external partners and distributing them as necessary
  • Ad hoc task as requested by your manager
  • Pre-production: Reaching out for availability of retouchers and place holds in advance of a shoot wrap
  • Maintaining booking trackers for each shoot
  • Booking travel and accommodation
  • Updating budget lines as costs are confirmed for shoots
  • Managing permitting
  • Submitting EQ and production supplies lists
  • Making and sending call sheets
  • Organizing catering
  • Managing freelance PAs as necessary for large-scale shoots
  • Post-production: Filing and verifying invoices and receipts to budgeted costs
  • Marking up retouching notes according to the brand retouching guide
  • Organizing rounds of retouching notes to ensure streamlined feedback and revisions
  • Supporting on asset distribution to cross-functional partners

What you'll bring

  • Education: Bachelor's degree in related field
  • Experience: 2+ years of experience in production coordination, operations, or project management within beauty, CPG, or fashion/lifestyle industries.
  • Organization & Detail Oriented: Proven ability to manage multiple timelines, vendors, and deliverables simultaneously with strong attention to detail.
  • Communication Skills: Strong verbal and written communication skills to effectively coordinate across creative, operations, and external partners.
  • Technical Knowledge: Proficiency with project management and production tracking tools (e.g., Asana, Smartsheet, Monday.com) and advanced Excel/Google Sheets skills.
  • Problem-Solving: Ability to anticipate production challenges, propose proactive solutions, and adapt in a fast-paced, evolving environment.
